Effectively Targeting Your Announcements
Effectively targeting announcements is essential for getting information out to the proper members of the YCP community. Previously, there was an option for "Entire Campus" which, when selected, would send the announcement to everyone with a current account. This included everyone at YCP, everyone at YCDS, and all alumni. This caused several messages to go to members of the community who did not need the information. To correct this issue, the campus announcement system was upgraded to provide announcers with the ability to easily target their announcements to specific members of the YCP community.
Targeting a Large Group
If an announcement needs to be sent to a large group of the YCP/YCDS community the "Around Campus" section can be utilized. This section will allow the announcer to select one or multiple large groups in the community. Selecting multiple options within a single section will be treated as an "OR" function and the announcement will go to anyone within any of the selected groups. So, for example, if the announcer selects YCP Employees and YCDS Employees, the system will send the announcement to any user that is either a YCP Employee or a YCDS Employee. This announcement will reach all employees in the system, since employees must be one or the other.
Targeting a Small Group
If an announcement needs to be sent to a small group of the YCP/YCDS community, the announcer can select from one or more specific sections. There are many sections that were created to help announcers target specific audiences. If an announcement needs to go to a single group, such as students who are currently juniors, the announcer can open the "Student Class Standing" radio button and select the "Junior - Fall" option. The announcement will then go to all students at YCP who currently have Junior standing. If an announcement needs to go to a specific sub-group, such as students who are currently juniors in the Business Administration Major Department, the announcer must first select the "Junior - Fall" option. Then open the "Major Dept" radio button and select the "Business Administration" option. When options are selected across sections it is treated as an "AND" function and the announcement will only go to those who are members of all the selected groups.
Please note: Take care not to select groups from different sections if you want to send announcements to all the users in each of those groups. Selecting from different sections means "AND," so you might select Employees > Full Time Faculty and Students - Fall 2017 > All YCP Students. In this case, the system would attempt to locate users that are full-time faculty members AND YCP students.
Targeting an Imported Group
If an announcement needs to be sent to a specific group that is not outlined by the existing options in the system, an announcer can request the creation of an imported group. The announcer can contact the LTS Help Desk to request the group be created. Specific details required for the creation of the group will need to be provided. Once a list has been generated it will be sent to the announcer as a spreadsheet for review prior to the creation of the group. This is to ensure that the proper information is pulled for the imported group. Once the list is approved the Imported Group will be added to the system and will be located under the "Imported Groups" section.
